At a special meeting last week, members voted to adopt two resolutions accepting the club’s updated Rules and Bylaws. Thank you to PP Judy Sharp for steering this process over the last 12 months. During the Rules & Bylaws review process, whilst RCE complied with most RI requirements, we found some shortfalls to do with election of President, Executives and Directors. Consequently, we’re now required to form a Nominating Committee (NC) and establish a process that allows more input from members. PP Judy went through some guidelines and explained the NC composition: Past President, President and President Elect and two other club members. A nomination process for the two club members was conducted at the meeting, resulting in Jules and Paul Kelly being duly elected. The NC team will serve for the Rotary year and advise members further about the process for nominating members to fill positions in the 2019/20 Rotary year.
Club Assembly delivered a busy agenda during which Board Directors gave a brief overview of their committee’s Annual Goals for the year ahead. A copy of the Annual Goals is published in the Bulletin. John Skinner reminded members about the importance of taking notice of rosters and dates e.g. Duty team; BBQ; Fine master. If you can’t do a rostered duty, then you need to find your own replacement, organise a swap and then let the person in charge know about the change. (Duty roster & Fines – advise Brett; BBQ roster – advise Lyn) Rosters are published in the weekly Bulletin so please keep an eye on them and particularly take notice of when you have been rostered and take action if you can’t do the designated duty.
Denese also spoke about the importance of confirming or declining weekly attendances once the email comes around, by close of business on a Tuesday. Attendees are confirmed with HGC on Wednesday morning and following this, the numbers are locked in. If you then can’t make the meeting, you will still be invoiced for the meal cost. When members are going to be absent for more than two weeks, Denese explained a leave of absence process in Club Runner (CR). It has since turned out that most members do not have the level of Club Runner access required to enter their leave data so our apologies for leading you down the wrong path! If you know you will be away for longer than two weeks, then it’s best to send an email to both Ernita and Denese. Your leave will then be added to CR by Ernita.
A big meeting this week where we welcome the McFarlane family, Walter and Eliza Hall Institute (WEHI) guests and Youth Exchange guests including Johnny and Mamiko from Amakusa City, Japan. Partners are most welcome.

This Week at Rotary
David McFarlane WEHI Scholarship Night - Partners Night 
On Thursday 16 August we have a big night ahead in the Eaglemont Room.  Please encourage your partners to come along and be present when Jill presents on behalf of the club the first scholarship to a PhD student working at the Walter and Eliza Hall Institute (WEHI).  Past President David McFarlane was an avid supporter of WEHI and it is fitting to have a scholarship in his name to be presented to Bridgett Duckworth. We will have a number of guests attending from Walter and Eliza Hall Institute (WEHI) and as well it is the annual visit from Johnny and Mamiko - our sister Rotary Club in Japan and the youth exchange students from Montmorency Secondary.
Come along, especially the newer members, to hear an update on the great work WEHI has been doing and the fantastic youth exchange program between our club and the Rotary Club of Hontondo.
Please let Denese know of your attendance for this very special night.

Next week, August 23rd, we’re looking forward to inducting Veronica Kioria, followed by the first of our Club’s Committee meeting nights in which there will be no guest speaker. Instead, we will have some fellowship together over dinner and then there will be several committee meetings running concurrently throughout HGC. At Club Assembly last week, Jill gave an overview of the purpose behind trialling committee meetings on a club night which includes:
  • Inclusion – as many members as possible can be involved in the sharing of our Rotary work
  • Looking after busy members – reduces the number of committee meetings that need to be held at other times
  • Improving communication – membership of a committee means you get to find out what work is going on in that team
  • Helping new members – to learn about the work of different committees which then helps them to decide which committee they would like to join
Committee meetings to be held next week include: Aquabox, Youth Services, Community, Administration (includes Sergeant, Bulletin editor, Secretary, Program organizer), Public Relations, Membership.
If you are not on a committee? Then members are encouraged to visit one or a couple of the committee meetings as an observer. Everyone’s thoughts and opinions are important and having as many of our members as possible involved in Rotary work is also very important. Hope to see you there!
 
 
RCE Annual Plan Goals 2018-2019
Aquabox Goals (Director John Roberts)
  1. Implement enhanced public relations initiatives for Aquabox through the revamping of the website and Aquabox promotional video, and the targeting of clubs in neighbouring districts for presentations.
  2. Increase the amount of donations/fundraising from $18,000 to $40,000 excluding Hallmarc donation; and strengthen the relationship with key sponsor, Hallmarc.
  3. Distribute at least 240 boxes, whilst maintaining 120 boxes (108 ‘family’, 12 ‘30’) in storage for emergencies.
  4. Finalise the setup of pre -positioning sites in the Philippines and northern India.
Youth Services (Director Ian Toohill)
  1. Continue to support Rotaract and promote membership to past Interactors and others
  2. Promote concept of Interact Clubs conference and possibly a Club at an Eltham School. Possible support for Greensborough Club’s Interact Club at Greensborough Secondary College.
  3. Maintain existing programs for youth in our area.
  4. Strengthen the relationship with Nillumbik and Diamond Valley Learning Centre with a view to identifying a project to address youth homelessness in the area.
Public Relations (Director Sally Squires)
  1. Ensure club Website, the Bulletin and Facebook media are up to date and relevant and encourage members to access and use these media.
  2. Promote our club projects and events via any media to ensure the club gets credit for the good it does in our community 
  3. Inform and encourage members to use our club branding so it is consistent thru all media, stationery etc
Membership (Director Jules Aussems)
  1. Retain existing membership and recruit and induct at least 7 new members
  2. Strengthen Family of Rotary, keeping in touch with members past and present, and their partners, particularly in times of need
  3. Bring procedures for membership recruitment, provision of RCE branded clothing and Family of Rotary up to date.
Community (Director Paul Kelly)
  1. Continue to support local groups such as CAVE, RSL, St Kilda Mums etc.
  2. Strengthen the relationship with Shire of Nillumbik with view to assisting in building projects that Rotarians could assist with.
  3. Continue organising the weekly Lower Eltham BBQ providing funds to support local community groups, including allowing some community groups to run their own barbeque to support their fundraising.
International (Director Rob Kilcullen)
  1. Continue to monitor and follow up the Hout Bay feeding program.
  2. Continue the attempt to establish a pathway for Aquabox into India.
  3. Seek board approval for RCE to be the prime driver in building a multifunctional education training facility in Kathmandu, Nepal.
Festival (Director Dale Atkins)
  1. Plan and deliver the 2018 annual Rotary Eltham Festival in accordance with funding and program guidelines
  2. Maintain budgetary restraint and improve fundraising opportunities to maximise festival returns without compromising the integrity of the festival.
  3. Enhance the festival through the introduction of new activities and displays, in conjunction with both community and commercial organisations.
Program and Club Service (Director Alison Cooper)
  1. Develop and implement a varied, topical and engaging program of speakers for the year with a focus on the theme for the 2018 – 19 Rotary year – “Be the Inspiration”
  2. Organise at least 2 opportunities for major fundraising events (eg. Footy night/Christmas function/film night/cancer fundraiser) and be the lead in the planning of the event.
  3. Ensure that Club nights are planned to be interesting, have variety, members are informed, educated, have fun elements and interaction or develop discussion amongst members on the topics presented.
Administration (Director John Skinner)
  1. Adopt the updated Club Rules and By Laws
  2. Coordinate the work of the administration team (Secretary, Sergeant, Weekly Bookings Officer, Program Director)
Foundation (Director Judy Sharp)
  1. Contribute to the investigation of opportunities for Rotary local and international grants
  2. Match 2017-18 funding to Foundation.
  3. Arrange one presentation to the Club about Foundation
  4. Coordinate the process for nomination Paul Harris Fellows
Finance (Treasurer Michael Martin)
  1. Oversee the financial management and operations of the club ensuring compliance with applicable law and regulations.
 
Membership & Family of Rotary Report
The membership team for this year consists of Jules Aussems, Irene Cant, Les Coath and Frank Lynch. We are currently working hard to increase memberships and retain our existing club members to ensure that our vibrant club continues to grow. This week we welcome Veronica as our newest member.
The welfare of our past and present members is also one of our top priorities for this year and without your support we would not be able to reach out to those in need. In order to achieve this we need your support in building memberships as it is vital to ensure that our club continues on into the future.
Our thoughts are with Peter Bishop and family along with Dennis Booth and family following recent bereavements. Peter’s mother passed away recently and Dennis’ mother passed away last weekend. The Rotary family extends its condolences to both families.

Ken the Hawk is doing well, just like his beloved Hawks who have rebounded, so too has Ken!
Alison will be having a spell away from Rotary for the next few weeks and recuperating from some surgery. We wish Alison well with a speedy return to good health.
 

Website upgrade

The RCE Website is produced using the Clubrunner software.  It has not been displaying correctly on mobile phones.  I think I have found the answer and this weekend an upgrade will be completed.  During this time the website will not be available on the web.
